How to Keep Your Cash and Offline Bookings in the Same System as Your Online Bookings

Not every student books online. Some call you directly. Some you've known for years and you sort it out over text. Some prefer to pay cash. That's normal — and DriveBook is built to handle it.

The problem most instructors have is that their online bookings are in one system and their cash/offline bookings are in their head, a paper diary, or a spreadsheet. The schedule doesn't match reality, earnings reports are incomplete, and tax time is a mess.

DriveBook's offline booking feature solves this by letting you record any booking — regardless of how it was made or paid — in your dashboard.

Available on PRO, Studio, and Business plans. BASIC plan instructors can still view their schedule but offline booking tracking requires PRO or above. If you're on BASIC and want to log cash lessons, upgrading to PRO unlocks the full offline booking feature.

What Offline Bookings Cover

An offline booking in DriveBook is any lesson that was not booked through the online flow. This includes:

• Phone bookings
• Text/WhatsApp bookings
• Cash lessons
• Lessons paid by bank transfer
• Regular students you don't need to re-book through the platform

When you create an offline booking, you can record:

• The student's name and contact
• The lesson date, time, and duration
• The location
• The payment method (cash, bank transfer, card — your choice)
• The amount paid

Your schedule is complete. When you open your dashboard, you see everything — online and offline — in one view. No more mentally merging two different systems.

Your earnings reports are accurate. DriveBook's earnings page shows total income. If cash lessons aren't recorded, the reports are meaningless. With offline bookings recorded, your income summary reflects what you've actually earned.

Your client history is maintained. Every lesson with a student — online or offline — shows up in their profile. If you ever need to look back at what you covered with them, it's there.

Tax time is simpler. Your DriveBook earnings report becomes a reliable income record. Instead of piecing together bank statements, cash records, and online payments, you have one source.

How to Create an Offline Booking

In your DriveBook dashboard, go to Bookings and select "Add Offline Booking." Fill in the details and save. The slot is blocked in your calendar — so the AI receptionist and online booking system won't offer it to other students.

The booking won't generate an automatic SMS reminder (since it wasn't made through the standard flow), but you can trigger a manual reminder if you choose.

A Note on Client Records

If the student doesn't have a DriveBook account, you can create a client record for them manually. Their lessons will appear in your client list alongside your online students, and you can record lesson feedback for them the same way.
